How to use Zapier to receive a notification when a new device is registered

!!!CLOSED BETA!!! Zapier for Cortado is currently only available as a closed beta version. If you are interested in a test, please contact us by email (hello@cortado.com). With Zapier, you can create automatic workflows to simplify workflows in your company. In this How-To, we present a Zapier workflow for receiving an automatic notification when new devices are registered in the administration portal.

Aim

In this How-To, we will show you how to create a workflow that automatically sends an email (e.g. to the administrator) as soon as a new device is registered in the Cortado administration portal.

Implementation

Login and start

  • Login to Zapier with your access data.
  • Click on Create (upper arrow in illus.) and then on Zaps (lower arrow in illus.) to create a new automated workflow.

Select, configure and test the trigger

Now select your trigger. This is an app with which a specific workflow (i.e. a zap) is to be started. In our scenario, the Cortado app must be selected as the trigger. This is because the registration of a new device in the management portal should trigger our workflow.

  • Click on Trigger (arrow in illus.).
  • Then select Cortado.

The trigger app is now configured:

  • First select a trigger event, i.e. an event that sets the desired workflow in motion. In our example, this would be the registration of a new device in the administration portal (New Device) (left arrow in illus.).
  • Then log in to Cortado by clicking on Sign in (lower arrow in illus.).

  • To log in to Cortado, you will need your Cortado API key (upper arrow in illus.). 
  • If you manage several organizations with Cortado, you will also need the ID of the organization for which you want to set up this Zap (lower arrow in illus.).

You can find your API key in the administrator administration of the administration portal. 

  • To do this, select the administrator (left arrow in illus.) and then click on Edit (middle arrow in illus.).
  • Copy the API key (right arrow in illus.) to the clipboard and paste it under API Key in Zapier.

You can find the ID of your organization in the settings in the General tab (arrow in illus.).

  • Copy the ID if necessary and paste it into the appropriate place in Zapier.

As soon as you have defined a trigger event, you must start a test. During this test, existing data is retrieved from the administration portal. 

  • To do this, first click on Continue (arrow in left illus.) and then on Test trigger (arrow in right illus.).

During the test, data records are retrieved from the Cortado administration portal. For the New Device trigger event, for example, all available data for a device is displayed (left in illus.).

  • Select a record (upper arrow in illus.) and then click on Continue with selected record (lower arrow in illus.).

After the trigger, the next step is to select an action that should take place as soon as the trigger event has occurred. During the trigger event, a range of device-related data was retrieved from the Cortado administration portal (see top image, left side). This information could already be forwarded to an administrator in an email action. However, if you would also like to be informed about which user has activated the newly registered device, an action must first be added.

  • Now add a new action by clicking on Action (arrow in illus.).

  • Select Cortado as the action (arrow in illus.).

  • Then click on Search User (left arrow in illus.) under Action event (right arrow in illus.).

  • Then click on Continue (arrow in illus.).

  • You must now select the user ID of the device. To do this, click on the plus button (right arrow in illus.).
  • Then search for the user ID and select it (left arrow in illus.).
Note! The device can only be assigned to the user in the next step via the user ID.

  • Then click on Continue (arrow in left illus.) and then on Test step (arrow in right illus.).

During the test, the user data associated with the user ID is retrieved. The test was successful.

Select, configure and test the second action

Now select an action that should start as soon as the trigger event (e.g. New Device in the Cortado trigger app) and the first action (retrieval of user data) have taken place. For example, an email action (left arrow in illus.) with the action event (right arrow in illus.) Send Outbound Email (middle arrow in illus.) could be used.

  • Then click on Continue (arrow in illus.).

The email that is to be sent after registering a new device is now configured. Enter a recipient (To) (upper arrow in illus.), a subject (middle arrow in illus.) and a text in the email body. You can also click on the plus sign to specify which information about the device should be displayed in the email (body) (lower arrow in illus.).

  • You can add all the required data from the trigger event (New Device) and the first action event (Search User) to the email body. In the example, the display name of the device (Display name) and the display name of the user (Display name of the user) have been entered.
  • Configure your email as desired and then click Continue.

  • Click on Test step (lower arrow in left illus.) to send the test email.
  • If the test was successful (right-hand image), the workflow can be published.

  • Click on Publish to publish the Zap (arrow in illus.).

In our example, the administrator automatically receives an email with the device and user information each time a new device is registered in the Cortado administration portal.
